Building a reconciliation pack that survives sampling
A reconciliation pack is not a single spreadsheet. It is the trail from source balance to ledger balance, including the list of open items, who aged them, and when they cleared.
When we sample packs during payment operations reviews, the failures are rarely mathematical. They are organisational: a missing bank statement for one currency, an unexplained plug labelled “timing,” or an approval email that cannot be tied to the period under review.
A durable pack usually contains:
- Source statements (bank, processor, or custodian) for the period
- Internal ledger extract with the same cut-off
- Break list with aging and owner
- Evidence of clearance for items closed within the sample window
- Sign-off from the control owner with a date stamp
If your fintech runs multiple corridors through one back office, keep corridor identifiers on every break line. Auditors and examiners both follow money by corridor; a blended list invites follow-up questions you could have avoided.
